OVERALL PURPOSE OF THE ROLE
The Event Operations Assistant will play a key role in supporting the operations team, providing both administrative and practical assistance to ensure the successful delivery of a diverse calendar of events. This includes contributing to production planning and overseeing operational elements to help deliver seamless, high‑quality experiences throughout the year.
KEY ROLES AND RESPONSIBILITIES
- Operational and Administrative Support
Provide logistical and administrative assistance to the Events Manager and wider operations team, including manual handling and office administration to ensure the smooth running of the events programme. - Supplier and Venue Coordination
Manage bookings and confirmations for venues, accommodation, and suppliers, ensuring all arrangements are completed accurately and on time. - Event Logistics and Supplies
Oversee the ordering, delivery, and organisation of event supplies, equipment, and operational resources, maintaining stock levels both in the warehouse and on-site. - On-Site Event Builds
Assist the Production Manager with the management of on-site event builds, ensuring all operational elements are delivered safely and efficiently. - Warehouse and Event Preparation
Participate in warehouse sessions to assist the operations team with event day preparation, ensuring all equipment and resources are ready for deployment. - Event Attendance and Support
Attend events and related activities as required, including evenings and weekends, providing hands-on support during pre-event activities. - Policy Compliance
Act in accordance with Run 4 Wales’ policies, including Health & Safety and Equal Opportunities, ensuring safe and inclusive practices at all times. - Process Review and Improvement
Regularly review the efficiency of Event Support Assistant processes, making recommendations for improvements to enhance overall operations. - Event Knowledge and Improvement
Develop a strong working knowledge of Run 4 Wales events, contributing ideas and support to continually enhance delivery in line with the organisation’s ethos and ambitions.
PERSON SPECIFICATION
Knowledge & Qualifications
- Strong general education, such as GCSEs in English Language and Maths, or equivalent experiential learning.
- A valid UK driving licence, with less than 6 points.
- Demonstrable knowledge of event delivery and project management practices (desirable)
- Familiarity with site equipment including vehicles, barriers, PPE, safety equipment, and tools (desirable).
- Awareness of event health and safety practices (desirable).
- Understanding of project management methodologies (desirable).
Experience
- Background in administrative roles, providing organisational and logistical support (desirable).
- Experience contributing to large-scale event delivery (desirable).
- Practical experience applying event health and safety practices (desirable).
Skills
- Excellent communication and interpersonal skills, both written and verbal, with strong listening ability.
- Outstanding organisational, administrative, and time management skills.
- High level of accuracy and attention to detail.
- Ability to multi-task and work flexibly across different project areas.
- Calm and adaptable under pressure, with the ability to respond quickly to changing circumstances.
- Proficiency in IT systems and software, particularly Microsoft Office.
- Competence in AutoCAD or Adobe products (desirable).
- Welsh language skills (desirable).
